Data controller

The app is provided by Dot Design Web S.R.L., Romanian company number 26427855, J40/701/2010, registered at 4 Johann Sebastian Bach Street, Sector 2, Bucharest, Romania. For privacy questions email contact@dotdesign.ro.

Data processed

At your request, the app processes recorded audio, input and output language, selected AI provider, dictation preferences and technical information required to operate. We do not sell personal data or use transcripts for advertising.

Purpose and legal basis

Audio is used for transcription. If you request translation or refinement, the transcript is processed to produce that result. Processing is necessary to provide the requested service and for the legitimate interest of keeping the app secure and reliable.

AI providers

Audio and the necessary instructions are sent over HTTPS directly to the provider configured by the user. That provider applies its own terms and retention policy; Dot Design cannot control processing performed in the user’s provider account.

API keys and settings

API keys are encrypted on the device and excluded from ordinary Android backup. App settings are stored locally; eligible device transfer may use Android encrypted transfer mechanisms.

Retention and deletion

Temporary audio is deleted after success, cancellation or a final error. It may remain briefly in private app storage while waiting for a retry. Clearing app data removes local settings and files.

Diagnostics and Sentry

From version 2.52, technical diagnostics are optional, off by default and enabled only after separate consent in the app. Reports may include phone manufacturer/model, Android and app versions, insertion/failed-attempt counters and fixed error codes. The same choice controls Sentry when configured. Filters exclude API keys, audio, transcripts, active-field contents and screenshots. The local journal stays local unless you share it; review it before sharing. Previously submitted Sentry reports follow the project retention setting.

Optional product statistics

Version 2.52 offers separate consent for selected provider, input/output languages, country from phone language settings and insertion/failed-attempt counters. The configured country is not the actual location. GPS, contacts and advertising IDs are not collected for these statistics. These data are pseudonymous, not guaranteed anonymous; declining does not affect dictation.

Licensing backend and retention

dictate.dotdesign.ro receives hashed technical identities and trial dates to verify access. It never receives AI keys, audio or dictated text. Optional profiles stop appearing after 30 days without updates and are pruned during service activity; consent revisions are kept for up to 180 days to reject stale requests. Withdrawal stops optional reporting and requests deletion of the corresponding backend profile; offline deletion is retried at the next connection. Existing text and background recording

When you request translation of existing text, the active field contents may be sent to your selected provider, including your edits. The app does not read all conversations or phone contacts. If background continuation is enabled, the microphone may continue after switching apps, with a recording notification and stop control. You can disable this option or revoke microphone permission.

Secure key transfer

The app may use Google Android Block Store to restore keys on another phone. Cloud key backup is requested only when the service confirms end-to-end encryption is available; otherwise only local Block Store storage is requested. Restoration depends on the device, Google services and Android settings. Never send your API key to support.

Your rights and choices

You can stop recording, revoke permissions, change provider, delete the API key or clear local data. Contact us about data managed by Dot Design; data sent to an AI provider is also governed by that provider’s policy.

International transfers

The selected AI provider or diagnostic service may process data outside the European Economic Area. In that case, the transfer mechanisms and safeguards described by that provider apply.

GDPR rights and complaints

Where the law applies, you may request access, correction, deletion, restriction, portability or objection for data managed by Dot Design. You may also lodge a complaint with the Romanian data protection authority.
